Managing Groups

Groups are sets of extensions that are relatable to each other. For example, if you have a Sales team in your company, you can group all his extensions in a group. This way, any call received within the group can be answered by the entire group.

In the Nubitalk portal you can:

Adding a group

To add a group:

  1. In the Nubitalk homepage, click in manage.



  2. Inside Manage, click groups.
  3. A groups list will open, click to add a new group.
  4. A wizard with multiple steps will open.
  5. In the Group Type, select the type of group you want, then click next
    • Distribution Group - A group of extensions that will be called under a given order (e.g. One after the other, All at the same time, Randomly).
    • Pick-up Group - A group of extensions enabled to pick-up the calls between them.

  6. Fill in the Group Name and the Internal Number, then click next:

  7. In the Distribution type, fill in the fields and click next:
    • Ring Strategy - Select from:
      • One after the other - Extensions are tried sequentially.
      • All at the same time - All extensions are tried at the same time.
      • Randomly - The first extension to be tried is selected randomly.
    • Ring Time - Insert the time that the extension rings on your PBX system.
    • Cyclic - Check the box if you want the first extension to be tried after the last extension was tried. 
      Note: If you check Cyclic, a field will appear where you can define the maximum number of cycles. The default number is 10.
    • Waiting Queue - Check the box if you want the incoming calls to be parked if the extensions are busy.
      Note: If you check Waiting Queue, a field will appear where you can set the audio file to upload as a welcome message to the waiting queue.
      Note: You can't configure Cyclic and Waiting Queue in the same group. Either configure Cyclic or Waiting Queue.

  8. Fill in or search the group's Phone Number and check if you want to enable call recording for the group, then click next:

  9. Select if you want to enable the voice mail. If you enable the voicemail:
    • Select the access pin.
    • Customize a welcome message by using the text to speech tool or by uploading an audio clip.
    • Select whether or not you want to send incoming voicemail messages by email to the group.

      After you made your configuration, click next:

    • Tip: To access a group voicemail, you have to dial the voicemail number (usually 996) plus the DDI of the group, without the calling code.
      For example if your group DDI is +44212121, to contact the group voicemail from a group extension, the extension must dial 996212121 and then insert the defined pin.
  10. If you don't enable voicemail, in the next step you'll have forwarding configuration, where you define what happens to an incoming call, then click next:
    • Leave it blank.
    • Enter a phone number.
    • Select a destination from your office phone contacts.

      Note: This step will only be available if Waiting queue or Cyclic and voicemail are disabled.


  11. If you already have created extensions, drag and drop from Available to Assigned, the extensions that you want to be part of the group, then click next:

  12. The confirmation window will display all your configurations. If everything is ok, click submit to create the group:

  13. After the confirmation window appears, you will be redirected to the group list where the new group will be displayed:

Editing groups

To edit a group: 

  1. Go to your group list, as explained in the adding groups topic
  2. The existing groups will appear:

  3. Click , under Actions, to edit the selected group. The groups wizard will open
  4. Select the field you want to edit by clicking in the corresponding step:

  5. Edit the field and then click submit to commit your changes.

Deleting groups

To delete a group:

  1. Go to your groups list, as explained in the adding groups topic
  2. The existing groups will appear.
  3. Click , under Actions, to delete the selected group
  4. A confirmation pop-up will appear:

  5. Click delete to confirm the deletion.
