Manage templates and signatures

On Templates & Signatures you can manage common responses and ways to finalize written responses, so that every customer receives the same treatment. Standardization shows professionalism and instead of relying on the agents to reply all in the same faction, you can set the protocols to be applied.

On this page, you can:

 

 

To edit the information displayed:

  • Click on settings_icon.png to open the settings pop-up:

  • On the pop-up:
    • Click on the check box of the information you want displayed.
    • The selected columns have a Settings_pop-up_check.png and are presented on a list on top.
    • The unselected columns have a Settings_pop-up_uncheck.png and are present on a list below.
    • Click SAVE to apply changes.

The information available for selection is:

Name  -  The template or signature identification.
Used by  -  The campaigns with the template or signature assigned.
Tip: Click on a dial plan, from the list, to open that dial plan configuration page.

 

To refresh the information displayed:

  • Click on Users_REFRESH.png.

 

To filter the information displayed:

  • Click on Users_filter.png.
  • Select a category from the drop-down menu.
  • On the selected category, click on Users_filtericon.png.
  • Select the desired itens.
Note: Click on Users_filternot.png to delete the filter.

  

To delete a template or signature:

  • Select the template(s) or signature(s) by clicking on the row's checkbox.
  • On the top right-side of the screen, click on Users_delete.png to delete.
                        or
  • Click on Users_actions.png on the template's or signature's row.
  • Click on Delete from the drop-down menu.
    Note: The template and signature can only be deleted if no campaign is assigned to it.

 

To duplicate a template or signature:

  • Click on Users_actions.png on the template's or signature's row.
  • Click on Duplicate from the drop-down menu.

 

 

Templates

Click on Management_templates_createbutton1.png to open the template pop-up window:

On the pop-up window:

  • Insert the template name.
  • Click SAVE to apply changes.

Edit the template's name

Click on User_profile_edit.png, on the left card, to open the Edit template pop-up window:

 On the pop-up window:

  • Insert the template name.
  • Click SAVE to apply changes.

 

Delete the Template

  • Click on User_profile_actions.png, on the left card.
  • Click on Delete.
  • Click on Delete on the confirmation pop-up window.

 

Duplicate the template

  • Click on User_profile_actions.png, on the left card.
  • Click on Duplicate.
  • Insert the template name.
  • Click SAVE to apply changes.

 

Configure the template

Click on User_profile_edit.png, on the Template card, to open the template pop-up window:

On the EDIT TEMPLATE pop-up window:

  • Insert the desired text.
    Note: On the template, you can use the following variables:
    - {{Agent.Name}}
    : Inserts the name of the logged agent.
    - {{Agent.FullName}}
    : Inserts the full name of the logged agent.
    - {{Service.Name}}
    : Inserts the name of the assigned service.
    - {{Service.FullName}}
    : Inserts the full name of the assigned service.
    - {{Service.OutgoingAddress}}
    : Inserts the OutgoingAddress of the assigned service.
    - {{Service.DNISList}}
    : Inserts the avaliable DNIS list of the assigned service.
    - {{Service.EmailList}}
    : Inserts the available emails of the assigned service.
    - {{Session.Data['mykey']}}
    : Inserts the value from the desired databag of the assigned service.
  • Click SAVE to apply changes.

 

Set the template relations

  • Click on the RELATION tab.
  • Click on User_profile_edit.png, on the CAMPAIGNS, to open the campaigns pop-up window:

  • On the campaigns pop-up window:

    • Click on Management_addcampg_but.png to open the add campaigns pop-up window:

    • On the pop-up window:
      • Select the desired campaigns.
      • Click Add campaigns to apply changes and close the pop-up window.

  

 

Signatures

Click on Management_templates_createbutton2.png to open the signature group pop-up window:

On the pop-up window:

  • Insert the signature group name.
  • Click SAVE to apply changes.

On this page you can:

Edit the signature's name

Click on User_profile_edit.png, on the left card, to open the Edit signature pop-up window:

  • Insert the signature name.
  • Click SAVE to apply changes.

 

Delete the signature

  • Click on User_profile_actions.png, on the left card.
  • Click on Delete.

Set the signature relations

    • Click on Management_addcampg_but.png to open the add campaigns pop-up window:

    • On the pop-up window:
      • Select the desired campaigns.
      • Select if the signature applies to Default new message and/or Default reply forward.
      • Click Add campaigns to apply changes and close the pop-up window.
  • Click SAVE to apply changes.
